Are you going to organize an event to which you would like to invite the wider faculty or even non-faculty public? Read the five tips below to find out what not to forget and how to make the event as successful as possible.
To ensure that your event does not overlap with another major one, we recommend checking the Faculty Major Events Calendar or the Faculty Web Calendar. Also consider the time availability of your primary target audience (e.g., students should not have other classes or be out of Brno, working people should already be off, etc.). At the same time, also consider the accessibility of the venue (see next point).
ATTENTION! The Major Events Calendar only shows events for the year ahead. If you are planning an event in the longer term, you can check the situation by sending an email to propagace@phil.muni.cz.
If you request a classroom reservation, please check their availability in advance using the IS application. You can use the Catalogue of Classrooms to find a suitable room. Then fill in the form to request a reservation and inform the faculty management of your intention. All non-teaching events are formally subject to approval by the Faculty Bursar.
TIP 1: Several free slots have been set aside in the timetable for the purpose of extraordinary bookings. Please try to use them as a priority:
TIP 2: For specific events, it may be appropriate to use the Group workspace, the Reading Room, the Dean's Meeting Room, or the Foyer in Building B2.
We recommend that you list the event on the calendar of events on the faculty website, and you may also consider a teaser on the LCD panels. Students of selected courses or degree programmes or staff of selected departments can be invited by mass email in IS. The event can also be included in the faculty newsletter. For major events that could become of potential media interest, a press release can be sent out in cooperation with the MU Faculty of Arts Office for External Relations and the RMU Press Department. And don't forget social media: whether your departmental or faculty-wide. Again, the Office for External Relations can help with these - write to propagace@phil.muni.cz.
TIP: Always think carefully about the target audience of your event so that, especially when sending out mass emails, you reach the real interested people and do not overwhelm the mail of those who are not involved in the event.
Especially if you are inviting non-faculty participants to the event, it is advisable to mark the venue with directional signs. For these, however, always use the holders loaned by the Central Library so that we don't destroy the walls and doors of our beautiful campus.
TIP: The holders from the central library are available in various sizes, so they can be used not only for signposts, but also for displaying posters or exhibition panels. You can also borrow dishes or purchase faculty merch from the Central Library. A faculty tent is also available.
In order to ensure that your event is not forgotten in the future, we recommend taking several archival images on site for the Faculty's Digital Photo Collection (the Office for External Relations will arrange the upload). The modern premises were created by reconstructing rooms in the basement of Building J, which formerly housed the faculty cafeteria Krmítko, and offer doctoral students quality facilities for their dissertation research. The construction and furnishing of the new rooms was funded by the MUNI4PhD project.
